Part 4: How to Review Your Renewal Vehicle Schedule

We know that working through our Renewal Packet takes effort, so we've put together a series of videos to help you out. This video is the fourth in the series and it takes you through how to review your renewal vehicle schedule. Completing your renewal packet may seem daunting, but these videos will help break it up into manageable tasks and help you work efficiently through the process. If you need assistance or guidance, please give our Risk Programs team a call; we're here to help you. Throughout each of our videos, we'll share tips or tricks to make filling out the renewal application easier. We'll highlight them for you with our tips or signs so that they are easier to see.

Tip No. 1: Throughout your Renewal Packet, please indicate any changes in color, highlight or bold fonts that we can easily see the changes that you've made.
Tip No. 2: Please make sure that all of your vehicles are on the schedule. Make sure to add any vehicles that you have purchased, leased, or taken ownership of during the current policy period that are not already listed. Include the year, make, model, designed use, maximum capacity, including the driver, and cost for each new vehicle. Vehicles that are not included on the schedule are not covered.

Let's look at the vehicle schedule starting on the left side.
Member Vehicle Number: This is the number that you have assigned to your vehicle. You don't have to complete this unless you'd like this for your record keeping purpose. If so, please feel free to make any changes and highlight those changes.
Model Year: This is the year that the vehicle was built.
Make: This is the manufacturer of your vehicle.
Model: This is the model of the vehicle. Oftentimes we'll include the number of passengers, which should include the driver, in the model description, which is used for rating purposes. If you are adding a new auto, we ask that you please include the number of passengers including the driver.

Tip No. 3: Many times we indicate in the model column when the auto doesn't carry a certain coverage. You may see Liability Only or Total Loss, meaning the auto does not have coverage for damage or theft of the auto. It only has auto liability and auto medical payments coverage. If it says No APD, it means that the auto doesn't have auto physical damage coverage. If it says No ATER, it means that the auto doesn't have auto terminal coverage. Sometimes we have removed a coverage or coverages from an auto at the request of our Member. Other times we have removed it due to the auto being a total loss and the Member chose to retain the auto. Please feel free to call our Risk Programs team if you have any questions on your specific autos.

VIN number: This is your vehicle identification number. Please review these and make any needed changes and highlight those changes.
Class code
This is the class that we have assigned your auto. Here are our class codes, so you may see if it's sorted in right category:
PASS01TO08, use for autos that hold one to eight passenger and are used for transporting students, even if it's occasionally;
PASS09TO20, use for autos that hold nine to 20 passengers and are used for transporting students, even if it's occasionally;
PASS21TO60, use for autos that hold 21 to 60 passengers that are used for transporting students; PASSOVER60, use for autos that hold 61 and more passengers and used for transporting students.
PRIVATEPASS, use for autos that are not used for transporting students and not trucks, vans, or maintenance vehicles. For example, an auto that may be checked out and used by your staff.
TRUCKMANT: use for maintenance vehicles and vans that are not used to transport students and usually all pickup trucks.
DRIVERTRG: use for driver training, education,
MOTORCYCLES: motorcycle use
TRAILERS: used as trailers

Tip No. 4: Speaking of trailers. Trailers not listed on your vehicle schedule, do not have auto physical damage or auto terminal coverage. If you want this coverage, make sure that they're added to your schedule and make sure that it is not marked for liability only.

Cost: This should be the cost when you originally purchased the vehicle. Please do not include any deductions on the cost if you were to have received trade-in credit.

Tip No. 5: Deleting autos. Please do not delete any autos that you still retain ownership of. Only delete autos that have been sold, salvaged or parted out. Removing autos from the schedule prematurely will leave you with an uninsured auto and a headache of a claim.

Contribution savings trick: If you're going to sell a vehicle, sell it before July 1st when your new policy starts. That way we don't charge you contribution for that vehicle for the upcoming policy period. In the reverse of that, if you're going to buy a vehicle, take possession of that after July 1st. That way we won't charge you contribution for it for the upcoming policy year.
That's how to review the vehicle schedule. Now, one last tip for you.

Tip No. 6: If you don't have any changes to your renewal vehicle schedule, you don't need to return it to us. Just make sure that when you send over your renewal packet, you confirm in your cover email that you have no changes to your renewal vehicle schedule. If you don't return the renewal vehicle schedule and you don't include this in your email to ask our Risk Programs, team will call and or email you to see if you have any changes.
